Spaces and space types

Spaces are what team members book for work and space types are the kinds of spaces they book (such as a standing desk, multi-media space, and so on). Spaces are on floors which are in buildings (buildings > floors > spaces). To see your spaces, go to Configuration > Facilities > Spaces.

Create space types

  1. Go to Configuration > Facilities > Spaces.

  2. Open the Space types page.

  3. Click Add new.

  4. Enter space type details.

  5. To associate the space type with an icon, click the pencil under Image and an icon.

  6. Click Create.

    You can now create spaces with this space type.

Update space types

Updating a space type automatically updates all spaces of that type.

  1. Go to Configuration > Facilities > Spaces.

  2. Open the Space types page.

  3. Select the space type you want to update.

  4. Make your changes.

  5. Click Update.

Delete space types

You can only delete space types if there are no spaces of that type. Change all the spaces of the type you want to delete to a different space type before completing these steps.

  1. Go to Configuration > Facilities > Spaces.

  2. Open the Space types page.

  3. Select the space type you want to delete.

  4. Click Delete.

  5. In the confirmation dialog, click Delete.

Create space

There are two processes for creating a space.

From Spaces

  1. Go to Configuration > Facilities > Spaces.

  2. Click Add new.

  3. Enter space details, including the space Type and the Building and Floor where the space is located.

  4. To associate the space with an icon, click the pencil under Image and select an icon.

  5. Click Create.

    You can now move the space to where you want it on the floor plan for the floor you selected.

From Buildings & floors

  1. Go to Configuration > Facilities > Buildings & floors.

  2. In the Buildings & floors list on the left, select the floor you want to create a space on.

    You can also use Search to find the floor.

  3. Click Add new and select Space.

  4. Enter space details, including the space Type.

  5. To associate the space with an icon, click the pencil under Image and select an icon.

  6. Click Create.

    You can now move the space to where you want it on the floor plan for the floor.

Create multiple spaces

You enter a name prefix when creating multiple spaces. The name prefix comes before the number for each space created (for example, Desk 1, Desk 2, and so on. You can also leave the name prefix blank so that new spaces are named 1, 2, 3, and so on.

  1. Go to Configuration > Facilities > Buildings & floors.

  2. In the Buildings & floors list on the left, select the floor you want to create spaces on.

    You can also use Search to find the floor.

  3. Click Add new and select Multiple spaces.

  4. Enter the Number of spaces you want to create.

  5. Enter space details, including the Name prefix and space Type.

  6. To associate the spaces with an icon, click the pencil under Image and select an icon.

  7. Click Create.

    You can now move the spaces to where you want them on the floor plan for the floor.

Update space

You can update a space’s name, type, status, neighborhood, image, or description. There are two processes for updating a space.

From Spaces

  1. Go to Configuration > Facilities > Spaces.

  2. Select the space you want to update.

  3. Make your changes.

  4. Click Update.

From Buildings & floors

  1. Go to Configuration > Facilities > Buildings & floors.

  2. In the Buildings & floors list on the left, select the floor where the space is that you want to update.

    You can also use Search to find the floor.

  3. Double-click on the space you want to update in the Spaces list on the left.

  4. Make your changes.

  5. Click Update.

Delete space

You can only delete a space that is not booked. Remove all bookings before completing these steps.

  1. Go to Configuration > Facilities > Spaces.

  2. Select the space you want to delete.

  3. Click Delete.

  4. In the confirmation dialog, click Delete.

Assign spaces to floor plan

You assign a space to a building and floor during the space creation process, and then you can follow these steps to move the space to where you want it on the floor plan. Spaces not yet on the floor plan are labeled Not assigned but are still part of the floor.

  1. Go to Configuration > Facilities > Buildings & floors.

  2. In the Buildings & floors list on the left, locate the floor whose floor plan you want to assign a space to.

    You can also use Search to find the floor.

  3. Drag and drop a space from the Not assigned list on the left onto the floor plan in the location where you want it.

  4. You can filter (sliding dials button) by space type and you can choose to show or hide neighborhoods.

You can also drag and drop spaces on the floor plan to move them to a different location or into the Not assigned list to remove them from the floor plan.
