Configure New Booking Functionality

  • From the Configuration menu on the EMS Desktop Client, select Room Sign.
  • The Room Sign menu shows the options for Deregister Device, Global Settings, Profiles and Room Sign Settings.
  1. On the EMS Desktop Client toolbar, click EMS Glance Settings to access the EMS Room Sign App Settings area.

    You can set how information displays at the Global level (the default for all Profiles) or for just one profile. 

  2. Select Global Settings to set this functionality as the default for all profiles, or open a profile for which you want to create a special display, and then edit the settings on the Settings tab.
  3. Adjust the global or profile settings listed in the table below to configure how check-in information displays on the following screen.

    New booking functionality has two components:

    • New booking settings
    • Group identification / authentication settings

New Booking Settings

Allow Book Now

Indicates if users can book a room. If set to Yes, then a Reserve button is displayed. When a user taps this button, a Reserve dialog appears with options for reserving the room.

Allow Book Now and Book Later

Indicates if a room can be booked for a future time on the current day. If set to No, the Start Down field on the Reserve dialog is disabled.

Currently, the EMS Room Sign App supports only same day bookings.

Allow Calendaring Integration If set to Yes the room sign attempts to send an invite to your calendaring system if you have one licensed, and if there's an email associated to the group of the organizer. Group must be default or the only group the organizer has available. If set to No the room sign will not try to send an invite to the calendaring system.

Default Duration for New Booking

The default duration for booking the room, in minutes, where the start time is the current time. For example, if you enter 60 for this value and the current time is 8:00 am, then the default start/end time on the Reserve dialog will be 8:00 to 9:00 am.

This value must not be larger than the Maximum Number of Minutes for New Booking value.

Maximum Number of Minutes for New Booking

The maximum booking duration, in minutes, allowed when booking a room.

Default Event Name for New Booking

The default name for an event when booking a room. The Event Name field is always displayed on the Reserve dialog. 

If Require Event Name for New Booking is set to Yes, then Default Event Name for New Booking should be left blank.

Default Event Type for New Booking

The default Event Type when booking a room.

The Event Type field is not displayed on the Reserve dialog.

Default Reservation Source for New Booking

The default reservation source for booking a room.

The Reservation Source field is not displayed on the Reserve dialog.

Default Status for New Booking

The default status when booking a room.

The Status field is not displayed on the Reserve appears.

Require Event Name for New Booking

Indicates if event name is required when booking a room.
