Configure Exchange-to-EMS Sync for EMS for Microsoft Exchange

In Update 33, EMS for Microsoft Exchange was updated with the ability to sync booking data between Exchange and EMS (Exchange-to-EMS and EMS-to-Exchange) and to create, modify, and cancel Exchange integrated bookings using additional access points (EMS Desktop Client, EMS Room Sign App, and EMS Kiosk App).

The information herein is for Update 33 or later. If you are not on Update 33 or later of EMS for Microsoft Exchange, refer to EMS for Microsoft Exchange Install and Configuration Guide (Update 32 or prior) for information and instructions regarding your version of EMS for Microsoft Exchange.

To configure Exchange-to-EMS sync for EMS for Microsoft Exchange in your environment, you will need to register a new application in the Microsoft Azure Portal under an admin account: 

  1. Sign in to your Azure account through the Azure Portal.

  2. Select Azure Active Directory.

  3. Select App registrations > New Registration.

  4. When the Register an application page appears, enter your application's registration information:

    1. In Name, enter EMS 2-Way Sync.

    2. Under Supported account types, select an account type.

    You do not need to configure a Redirect URI.

  5. Click Register.

  6. Copy the Application (client) ID and the Directory (tenant) ID and save this information for later.

    You will need this information to configure both of these IDs in EMS Desktop Client application.

  7. Select Certificates & secrets, and then click Clients secrets > New client secret.

    The Add a client secret page opens.

    1. In Description, enter EMS 2-Way Sync Secret.

    2. For the Expires value, select Never.

    3. Click Add.

      The client secret for EMS 2-Way Sync is saved, and the value of the client secret is displayed.

    4. Copy the value for the secret.

      Copy the value of the secret at this point. You cannot retrieve this value later.

  8. In the API permissions section of the Azure Portal, use the Add a permission button to add the following permissions for Microsoft Graph:

    • Calendars.ReadWrite (Application)

    • User.Read.All (Application)

  9. After you finish adding permissions, click Grant admin consent for [your] (Default Directory) at the bottom of the page.

  10. Configure your EMS for Microsoft Exchange settings in EMS Platform Services Admin Portal.

    Make sure you have access to the Application ID, Directory ID, and EMS 2-Way Sync Secret that you copied in steps 7 and 8 above. To complete the Exchange-to-EMS sync configuration, you will need to enter the IDs and secret into the Exchange Sync fields in EMS Platform Services Admin Portal.
