Release Notes V44.1.33 (June 2019)

To determine what to download, check your current installs for all your licensed products and make note of the date and release number on the About screen in your EMS software. Download and install the latest updates from the table below. Any download links for which you are licensed will be available to you once you are logged into Accruent Access.

To ensure your users are benefiting from the newest features, enhancements, and fixes, EMS Software recommends that you upgrade to the most current release of your EMS product.

Time Zone

Unable to book buildings after 2019-10-27 in the Jerusalem time zone

Users were unable to book buildings after the date 2019-10-27 in the Jerusalem time zone. When users tried to book these buildings in EMS Web App, they would get an "internal server error," and in EMS Desktop Client, they would get the error "insert fails." This issue occurred because the last EndDate for tblTimeZone was 2019-10-27.

Fix: Added rows for Jerusalem time zone to tblTimeZone through 2029.

Start and end dates for daylight saving time was incorrect for the Chile time zone

The database did not contain the correct start and end dates for daylight saving time in the Chile time zone.

Fix: Updated the database with the correct start and end dates for daylight saving time in the Chile time zone.

Installation and Permissions, Configuration Menu

 

EMS.Glance.dll moved to EMS Desktop Client installer and EMS Room Sign App configuration permission was added to user processes

Previously, the permission to configure EMS Room Sign App was controlled by the EMS.Glance.dll, which had to be manually installed on the computer of each user who needed permission. As of Update 33, the EMS.Glance.dll has been moved to the standard EMS Desktop Client installer package, and the permission to configure EMS Room Sign App is now granted by admins.

Admins can apply the permission for EMS Room Sign App configuration to users and user process templates in the EMS Desktop Client. To apply permissions, admins will need to add Allow EMS Room Sign Administration to the special processes table through System Administration > Security > Processes section > Special > Allow EMS Room Sign Administration.

  • With EMS Room Sign configuration permission, users can access settings through the EMS Glance Settings menu button in EMS Desktop Client. Additionally, users can access the settings for EMS Room Sign App through the Configuration menu: 

    • Configuration > Room Sign > Deregister Device

    • Configuration > Room Sign > Global Settings

    • Configuration > Room Sign > Profiles

    • Configuration > Room Sign > Refresh All Units

  • Without EMS Room Sign configuration permission, users do not see the EMS Glance Settings menu button, and users cannot access the EMS Room Sign App configuration settings through the menu button or the Configuration menu.

Important!

The Configuration menu items for EMS Room Sign App will only appear to a user if the following requirements are met: The user is a system admin or the user is a non-admin who is assigned to the configuration security process for EMS Room Sign App. The database has a license for EMS Room Sign App.

Modify Booking Details

Revert to status not required for Modify Booking Details security template process

The security process for Modify Booking Details now allows users to add, modify, and/or delete the category and resources (booking detail items) on any booking as long as the following is true:

  • The user has access to that category.

  • The user has at least view-only access to the room for the booking.

Note:

Regardless of which statuses are configured on the user account or security template, users can now add, modify, and/or delete service orders for any categories and rooms in which they have access.

Exchange and EMS for Microsoft Exchange, Create a Reservation

Exchange and EMS for Microsoft Exchange functionality in EMS Desktop Client

New functionality has been added to EMS Desktop Client. Users can now create reservations in EMS Desktop Client and have the reservation information updated in Exchange, which ensures that EMS and Exchange calendars remain in sync. This EMS-to-Exchange update functionality is only available to customers who are licensed for EMS Integration to Microsoft Exchange and/or EMS for Microsoft Exchange .

Parameters

Parameter added for enabling G Suite-to-EMS synchronization

A parameter has been added in EMS Desktop Client that allows you to enable G Suite to EMS synchronization (requires a valid G Suite license). You can access the parameter—When GSuite integration is enabled, sync events from GSuite to EMS—from System Administration > Settings > Parameters > Desktop Client tab).

To enable G Suite-to-EMS synchronization, set the parameter to Yes.

For environments configured with multiple domains under one tenant, Exchange availability was breaking sporadically in EMS Web App. When users tried to add attendees to a reservation, they would get the error "There was problem accessing the attendee service," and they would be unable to add attendees.

Ability to hide EMS ID in meeting body of EMS for Outlook appointments

The EMS ID can now be hidden in the body of EMS for Outlook meeting appointments. The EMD ID was causing problems for customers with certain types of video conference (VC) equipment. For these customers, the VC equipment was dialing the EMS ID as the conference call number.

To hide the EMS ID in the meeting body of EMS for Outlook appointments, you will need to configure the Hide EMS ID in EMS for Outlook parameter as follows: 

  1. In EMS Desktop Client, navigate to System AdministrationsSettings > Parameters > Everyday User Applications tab.

  2. Set the parameter Hide EMS ID in EMS for Outlook to Yes.

Parameters, Edit Reservations

Ability to use "Default Room Availability View" parameter during edit in EMS for Outlook add-in

The parameter Default Room Availability View allows admins in EMS Desktop Client to select whether users initially see the List View or Schedule View when opening EMS for Outlook. Prior to Update 33, the parameter was only honored when users created a meeting; when users edited a meeting, the Schedule View would always appear as default. As of Update 33, the Default Room Availability View parameter is now honored when users edit a meeting using the EMS for Outlook add-in.

Updates have been made to improve performance in the EMS for Outlook add-in.

Create Reservations

EMS for Outlook sending out email invites and updates twice

Previously, EMS for Outlook was sending out each email invite and update twice. This issue has now been resolved and only one email invite and update is now sent for every send action.

Edit Reservations

Editing a booking after new booking cutoff time triggered conflict resolution

Editing a booking after the new booking cutoff time (specified in the process template) was triggering the conflict resolution page, and the conflict resolution page did not display any available rooms for the user to select. This issue was occurring for bookings edited from either Outlook or the EMS for Outlook add-in.

Fix: Modified functionality so that conflict resolution is not triggered when users edit a booking after the new booking cutoff time. Now, when users edit a booking after the cutoff time, an error message about the cutoff time will be displayed.

Create Reservations

Group information was missing when a reservation was created in EMS for Outlook

When creating a reservation in EMS for Outlook, the group information (such as email address and phone number) was missing when the reservation was viewed in EMS Desktop Client.

Fix: Modified functionality so that when a user creates a reservation in EMS for Outlook, the group information is saved to the reservation and appears in EMS Desktop Client.

Edit Reservations

Editing an occurrence prevented additional edits

For recurring reservations, when users edited a single occurrence by adding a room and changing the time, the following issues occurred:

  • Standard templates: After saving the occurrence, when users opened the occurrence again, the EMS for Outlook add-in did not show the added room on the Selected Rooms or List View tabs. On the Schedule View tab, the added room was shown, but there was no minus sign (-); therefore, users could not remove the room. Note that in EMS Desktop Client, the room was added correctly.

  • Exchange-enabled templates with EMS for Microsoft Exchange rooms: After adding a room and changing the time, when users saved the occurrence, they would be prompted for Conflict Resolution, even though there were no conflicts. If users tried updating the rooms through Conflict Resolution, the rooms would not be updated correctly. Also, the other occurrences in series would not show any scheduled rooms in the EMS for Outlook add-in. In EMS Desktop Client, the reservation would also be incorrect, such as all occurrences in the series moving to one day with multiple bookings.

Fix: Restored functionality so that editing an occurrence does not prevent users from making additional edits, and the edits are correctly applied in both the EMS for Outlook add-in and EMS Desktop Client.

Recurring Reservations

Recurrence pattern was not providing an accurate availability value when the recurrence spanned a Daylight Saving Time change

If a recurring meeting spanned a Daylight Saving Time (DST) change, the recurrence pattern for the room did not provide an accurate availability value. The incorrect availability value allowed other users to view the room as available and book the room in conflict status.

For example: A user schedules Meeting A at 10:00 a.m. in Room 10 on for March 8, March 15, and March 22. Later, another user tries to schedule Meeting B in Room 10 for the same time and dates; however, instead of Room 10 being unavailable for those dates/time, EMS for Outlook shows Room 10 as available for 2 out of 3 days. Note that DST was on March 10, which caused Room 10 to show as available on March 15 and March 22.

Fix: Modified functionality so that EMS for Outlook provides an accurate availability value when a recurrence pattern spans a Daylight Saving Time change.

Create Reservations

Text being cut off for resource selection items

In the EMS for Outlook add-in, the text was being cut off for resource selection items if the text was more than 23 characters. This issue made some selection items unreadable, and users were unable to determine which items to select for the resource.

Fix: Modified functionality so that the text wraps to the next line, and the checkbox is centered with the resource selection item text.

Cancellations

Meeting was canceled even though the edit/cancel process was not completed

For meetings created in EMS for Outlook, when users opened the meetings from their Outlook calendars and clicked Cancel Meeting, but then closed the appointment window and selected No, don't cancel, the meetings were still canceled, even though the users never selected Send Update or Yes, send a cancellation.

Fix: Modified functionality so that meetings in EMS for Outlook are only canceled after users click Send Update or Yes, send a cancellation.

Confirmation Reports

Removing a room from multiple location recurrence caused a confirmation report to be sent for each date

When the Send Confirmation Upon Cancel parameter was set to Yes and the process template was configured with a cancel status, if users removed one room from a recurring meeting with multiple locations, the users would receive a confirmation report for every date in a recurring meeting.

Fix: Modified functionality so that users only receive one confirmation report.

Edit Reservations, Service Orders

Adding catering during booking edit created service order with incorrect time

When users edited a booking to add a catering service order, the service order time was being created at an incorrect time.

Example: A user created a meeting from 7:30–8:00 a.m. with a setup time 15 minutes prior. Then the user edited the meeting to add catering from 7:30–8:00 a.m. When the meeting was viewed in EMS Desktop Client, the catering order showed the time as 7:45–8:15 a.m. instead of 7:30–8:00 a.m.

Fix: Modified functionality so that when users add catering to a booking in EMS for Outlook, the service order is created using the actual time shown on the service order.

EMS for Microsoft Exchange

Ability to use EMS for Microsoft Exchange with EMS Kiosk App

As of Update 33, you can use EMS for Microsoft Exchange with the EMS Kiosk App. To use EMS for Microsoft Exchange with EMS Kiosk App, you will need to install Update 33 of EMS Platform Services.

With EMS for Microsoft Exchange installed, EMS Kiosk App users can create, end, and cancel bookings that have rooms linked to Exchange mailboxes. These booking updates will then be pushed to Exchange, and the booking information will be reflected in the organizer's and room's Exchange calendars.

If the connection to Exchange is interrupted while a user is creating an EMS for Microsoft Exchange reservation, the reservation will still be created; however, the reservation information will not be pushed to Exchange. The user will also receive an error stating that the booking was created, but there was a problem creating a meeting in the Exchange calendaring system.

Groups can now be filtered by city using the GetGroups call. The Swagger documentation has been updated to reflect this enhancement.

EMS for Microsoft Exchange

Enhanced Features and Functionality for EMS for Microsoft Exchange

For Update 33, the EMS for Microsoft Exchange option has updated with new features and functionality. EMS for Microsoft Exchange now provides the following syncing options:  

  • Exchange-to-EMS Sync—Allows users to book rooms linked to an Exchange mailbox from native Exchange applications, such as Windows Outlook, Macintosh Outlook, Outlook web, and Outlook Mobile. Exchange will push these native bookings and updates to EMS.

  • EMS-to-Exchange Sync—Allows users to book rooms/resources linked to an Exchange mailbox from EMS applications, and EMS will push these booking updates to Exchange. EMS for Microsoft Exchange can perform an EMS-to-Exchange sync from the following EMS products: 

    • EMS Desktop Client (new as of Update 33)

    • EMS Room Sign App (new as of Update 33)

    • EMS Kiosk App (new as of Update 33)

    • EMS Web App

    • EMS for Outlook

    • EMS Mobile App

EMS Kiosk App, EMS for Microsoft Exchange

Ability to use EMS for Microsoft Exchange with EMS Kiosk App

As of Update 33, you can use EMS for Microsoft Exchange with the EMS Kiosk App. To use EMS for Microsoft Exchange with EMS Kiosk App, you will need to install Update 33 of EMS Platform Services.

With EMS for Microsoft Exchange installed, EMS Kiosk App users can create, end, and cancel bookings that have rooms linked to Exchange mailboxes. These booking updates will then be pushed to Exchange, and the booking information will be reflected in the organizer's and room's Exchange calendars.

Update to the encryption used for the parameter PAM_GSuiteServiceAccountConfig

The encryption used for the parameter PAM_GSuiteServiceAccountConfig has been updated. In the future, if you need to downgrade an environment from the Update 33 build or any build older than that, and want GCal to work, you will need to manually reset or re-upload the service account config.

EMS Platform call returned false regardless of how it was set in database

The Get Event Types call for "displayOnWeb" and "allowWebRequest" returned a false response regardless of how the flag was set in the database.

Fix: Modified functionality so that the correct value is returned on these parameters.

G Suite Integration

Webhook subscription issues were blocking sync for G Suite

Webhook subscription issues were blocking G Suite mailboxes from syncing.

Fix: Modified functionality so that users have the option enable or disable webhooks. If webhooks are enabled and blocking the syncing of events, a message will appear suggesting that users disable the webhooks.

Advanced Availability Functionality

Results were incorrect when using EMS Platform Advanced Availability functionality

For customers using Platform Advanced Availability functionality, the correct number of results was not being returned. For example, when requesting results for page 2, no results were displayed even though the enableAdvancedAvailability parameter was set to True. However, when the parameter was set to False, the correct number of results was displayed for page 2.

Fix: Modified functionality so that when using Platform Advanced Availability functionality, the correct number of results is returned.

Note:

The fix described in this release note only applies to empty results. The issue with resultCount being inaccurate is a known issue and is currently functioning as designed as a trade off of accuracy for speed.

As of Update 33, you can use EMS for Microsoft Exchange with the EMS Room Sign App. When EMS Room Sign App is used in conjunction with EMS for Microsoft Exchange, users can create and end bookings that have at least one Exchange mailbox tied to a room. These booking updates will then be pushed to Exchange, and the changes will show on the organizer's and room's Exchange calendars.

Improvements have been made to the Automated Reports Service to enhance reliability and help the service process long-running reports more efficiently. Previously, the Automated Reports Service was vulnerable to crashing if a report took too long to process.

Email Notification Service

Notification Rule emails were sent to group instead of Everyday User

Although the Notification Rule emails were configured to be sent to an Everyday User, the emails were being sent to the group.

Fix: Restored functionality so that notification emails are sent to the email address that is configured on the rule:

  • If the notification rule is configured to notify a group, then the notification will be sent to the group's email.

  • If the notification rule is configured to notify an Everyday User, then the notification will be sent to the Everyday User's email.

No Show notification rule was not updating the status on bookings

The notification rule for No Show Status was not updating the status of bookings even though the Change Status checkbox had been selected (Configuration > Administration > Check-in Notification Rules).

Fix: Restored functionality so that when the Change Status checkbox is selected, the booking status is updated appropriately for No Shows.

Automated Reports

Changing the time for an automated report updated the last sync time and the report would not run on the day the time was changed

When users changed the time to run an automated report, the report would not run at the updated time on the day the change was made if the report had already been run prior to the time change.

Example: A user creates a saved report that runs daily at 9:00 a.m. Today, after the report runs at 9:00 a.m., the user changes the time to run the report to 11:00 a.m., but the report does not run at 11:00 a.m. This issue occurred because the "last sync" time was updated for the report that was run at 9:00 a.m.; therefore, the system considered the report as already having been run for the day. Note that on subsequent days, the report would run at 11:00 a.m. as expected.

Fix: Modified functionality so that when the time is changed for running an automated report, the report runs at the time specified, even on the day the time was changed.

EMS for Microsoft Exchange

Ability to support calendaring-enabled reservations with no templates

EMS Web App has been updated to support calendar-enabled reservations that are created with no specified template. This enhancement was completed so that EMS Web App can support reservations created in EMS Room Sign App. In Update 33, functionality for EMS for Microsoft Exchange has been added to EMS Room Sign App. This functionality allows users to create an Exchange reservation without specifying an everyday user process template. EMS Web App can now load and open these reservations.

Edit a Reservation

Resources removed from Service Orders

For multiple booking reservations where the bookings have a catering resource and service order, if users edited the reservation and added another resource, but did not apply it to all bookings, and then changed the service type (such as changing from buffet to a sit-down dinner), the newly added resource would be removed from the service order.

Fix: Modified functionality so that resources are not removed when users change the service type on multiple booking reservations.

Editing a booking from EMS Web App allowed users to extend booking time beyond the max number of minutes specified in the booking rule

For reservations created on a process template that had a booking rule specified for Max No. Minutes Allowed, users were able to edit bookings from these reservations and extend the time of a booking beyond the amount of time specified in the booking rule.

Fix: Modified functionality so that the when users edit a booking, the booking rule for Max No. Minutes Allowed is enforced.

Create a Reservation > Services > Special Instructions

 

HTML line break tags showed in Special Instructions

HTML line break tags (<br/>) were showing in the Special Instructions that users added to their reservations.

Fix: Restored functionality so that the HTML break tags no longer appear in the Special Instructions.

EMS Web App security fix

A security issue has been resolved. Submit an EMS Support Help Desk ticket through Accruent Access to receive additional information. When submitting a ticket, make sure to include the software update number and the EMS product name of the security issue.

Create a Reservation

Schedule View was not showing the correct room availability

When creating a reservation with a location filter that consisted of a view instead of a building, some users were not being shown the correct availability of reserved rooms on the Schedule View of the Room Request page. Instead, Schedule View was showing all rooms as available all day, and when users tried to select a room that was reserved, they would receive an error. Note that List View worked without any issues.

Fix: Modified functionality so that users are shown the correct availability in Schedule View regardless of the selected filter.

French keyboard users were unable to input a value into the "Number of People" field

French keyboard users were unable to input a value into the "Number of People" field because EMS Web App was not accepting manual keyboard input. French keyboards require the typist to press the Shift key to enter any numerical value; however, EMS Web App did not allow users to enter a numerical value using the Shift key.

Fix: Modified functionality so that users can enter numbers in EMS Web App using the following international keyboards: 

  • French

  • Canadian French

  • Mexican Spanish

  • Polish

  • Japanese

  • Korean

Unknown field was appearing in the Attendance & Setup Type window

When a Room Type was configured to display an image in EMS Web App, some users were seeing a third, unknown field in the Attendance & Setup Type pop-up window. The field had a room name or description above it, and the field was marked as required. This third, unknown field was causing the following issues: 

  • If users entered information into the field, they would receive an error.

  • If users left the field blank, they would not receive an error and could continue creating the reservation.

  • If the setup type and attendance were configured to not display (the pop-up window would not appear), then users would not be able to create the reservation. They would receive an error stating that a required field is missing.

Fix: Modified functionality so that the additional field no longer appears when a Room Type is configured to display an image in EMS Web App.

Cancellations

 

Cancel button was not available in the My Bookings section when using EMS Mobile Web App

When accessing EMS Web App on a mobile device (EMS Mobile Web App), the Cancel button appeared as unavailable because the button was being displayed as text.

Fix: Modified functionality so that the Cancel button is displayed as a button instead of text.

Language Translation

 

Some labels were being translated in the wrong language

In EMS Web App, some labels were not being translated to the selected language. For example, if a user's browser was set to display Japanese for the language, EMS Web App would display labels (such as rooms, groups, or event) in English. If a user had selected English, EMS Web App would display labels in Spanish.

Fix: Modified functionality so that EMS Web App displays labels in the selected language.

Floor Plans

 

SVG Floor Plans were not displaying in the Update 31 version of EMS Web App

When on the Update 31 version of EMS Web App, some users could not view SVG diagrams of Floor Plans. EMS Web App was unable to load SVG diagrams.

Fix: Modified functionality so that SVG diagrams can load in EMS Web App.
